Duties

The Material Recording Clerk will perform the following:

Supply Chain Management

  • Perform administrative tasks according to SCM regulations.
  • Generate official orders through the provisioning administration system.
  • Provide clerical support for demand and acquisition processes.
  • Maintain and update the supplier CSD database, including registering suppliers on SAP SRM.
  • Capture specifications, place orders, issue and receive bid documents.
  • Provide secretariat and logistical support during bid processes.
  • Follow up on purchase orders and monitor outstanding orders.
  • Assist with general administration in SCM, Stores, and Asset management.

Assets Management

  • Bar code assets and record new assets in the asset register.
  • Receive new assets and manage disposal of old or unused items.
  • Distribute assets to end users and reconcile monthly records with BAS.
  • Conduct asset verification annually and perform regular inventory spot checks.
  • Assist with Auditor General queries and ensure compliance with departmental standards.

General Duties

  • Attend to queries from end users and other staff members.
  • Execute all work-related instructions as assigned by the supervisor.
  • Rotate within the Supply Chain Management department to gain exposure to all processes.
